Minimum to Midpoint Pay Rate:$18.64 - $23.30 / hour

Summary

Are you an experienced, highly organized administrative professional ready to take on a pivotal role in supporting both the Medical Director and Administrative Director of the Advanced Heart Failure Program? Were seeking an exceptional individual to provide executive-level administrative support in a dynamic and fast-paced healthcare setting.

As the first point of contact for our team, youll play a key role in representing the program to others, ensuring that all administrative functions run smoothly and efficiently. This position requires someone who is not only detail-oriented and proactive, but also capable of managing high-level tasks with sophistication and professionalism.

Key Responsibilities:

  • Manage calendars, schedules, and travel arrangements for the Medical and Administrative Directors.
  • Handle correspondence, screen calls, prioritize emails, and answer phone inquiries.
  • Organize and maintain important documents and reports.
  • Set up meetings and coordinate interviews, including with out-of-state consultants and guests.
  • Manage reimbursement and expenses, ensuring timely processing.
  • Provide customer support for vendors and facilitate smooth interactions across the program.
  • Collaborate with other executive assistants supporting senior leaders across the organization to streamline efforts and maintain consistent communication.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar high-level administrative role.
  • Strong organizational and time management skills, with a keen attention to detail.
  • Ability to prioritize tasks, manage multiple projects, and handle a variety of requests effectively.
  • Excellent communication skills, both written and verbal.
  • Discretion and professionalism when handling sensitive information and interactions.
  • Ability to work well both independently and as part of a team, collaborating with other executive assistants and stakeholders across the organization.
