Minimum to Midpoint Pay Rate:$18.64 - $23.30 / hour
Summary
This position supports the Volunteer and Auxiliary Resources Department (the Auxiliary Board being a part of that department) and coordinates efforts across each hospital campus as well as outpatient services/offsite facilities. This position works with the Director on how best to provide support to the Auxiliary Board that enhances services for the hospital, staff/volunteers, patients and families.
Fundraising Skills and Responsibilities
Coordinate fundraising events. Research and develop potential vendor contacts. May assist or directly contact vendors. Work with fundraising chair on vendor event details. Prepare contract for submission to the legal department and manage contract through completion. Schedule all events and coordinate space. Prepare, deliver, post, promotional material. Troubleshoot throughout the event, to assure vendor and customer satisfaction. Process and submit fundraising payroll deduction to finance for each event. Troubleshoot any errors or inconsistencies in payroll deduction. Manage any issues that arise before, during or after the fundraising event. Work with fundraising chair to set the annual schedule and monitor and track the fundraising budget.
Management of Auxiliary Funding Request Services
This position works as the Auxiliary Board liaison to Department Managers and Directors for Donation Requests. Monitors and tracks Auxiliary Funding Requests. Interacts with management staff to facilitate funding requests and resolve any issues related to requests. Track requests from time of receipt through Board presentation, then follow up communication and tracking the purchase and accounting of the request. Works closely with the treasurer to review projects and budget.
Administrative
Responsible for a variety of coordinative and administrative support functions such as researching information, compiling data, preparing reports, monitoring and tracking of the budget, and coordination of projects/programs. Coordinate meetings and conferences; prepare correspondence, agendas, contracts, technical charts, other specialized materials, ranging from routine to complex. Establish office procedures, creates and maintains filing systems. Consistently communicates and reports Auxiliary Board activities and project status and escalates situations to director and appropriate area as needed with detailed and accurate information.
Positive and Professional Interpersonal Skills
The position fosters positive and professional interpersonal relationships with Auxiliary Board Members/volunteers, Hospital leaders and community businesses. Must provide clear and consistent communications. Networking skills, and ability to build community partnerships are key to engage participation.
Other
Support to Auxiliary Businesses
Prepares promotional flyers as needed and assists with business payroll deduct as needed.
May support various hospital events or activities.
Coordinate meetings, prepare correspondence, agendas. Schedule and prepare for these events. May be responsible for organizing staff/volunteers to assist with events.
