Minimum Education and Experience Requirements:

Education:

  • A high school diploma is required; an associate/bachelor’s degree is preferred.

AND
Experience:

  • At least 3-5 years experience in an administrative role

  • Proficiency in MS Outlook, Office, Teams, and Zoom
  • Candidate must possess excellent written and interpersonal communication skills

Job Summary

This position supports the Project Manager for Faculty Affairs. Primary responsibilities include administrative tasks related to the SKMC Department and College review processes.

Essential Functions

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Schedule meetings, prepare agendas, and maintain accurate, detailed documentation for internal and external committees. Serve as the primary liaison for review committee members, committee chairs, and university stakeholders.
  • Maintain calendars, timelines, and progress tracking to meet deadlines.
  • Process meeting room requests and assist with planning and coordinating remote and in-person meetings.
  • Assist with coordinating travel arrangements and expenses for external committee members as needed.
  • Must possess a strong sense of urgency, be highly organized, and be willing to adapt to timelines, workload, and priorities changes.
  • Prioritize and respond to all incoming emails, meeting requests, and phone calls promptly
  • Perform miscellaneous job duties as needed
