Under the direct supervision of the Director of Behavioral Health Services, provides support in the management of administrative and operational activities to ensure efficient and effective services as related to the Department of Psychiatry

Meets all standards of the Patient Satisfaction Initiative Criteria in order to make AH the hospital of choice for Patients and Employees

Actively participates in team development, achieving dashboards, and in accomplishing department goals and objectives. Assigns ICD-9-CM and CPT diagnosis and procedure codes where applicable. Assign applicable modifiers to the procedures according to established outpatient coding guidelines. Performs the query process for obtaining documentation required for accurate coding and prepares physician query per departmental policy and procedure when additional documentation is necessary for documentation clarification. Retrieves all records including pathology, imaging and operative procedure reports and documentation needed for coding accuracy. Organize job functions and work and work assignments to efficiently complete tasks within the established timeframes. Demonstrate knowledge of all equipment and systems/technology necessary to complete duties and responsibilities. Demonstrates competence in coding requirements by analyzing and interpreting medical information so that accuracy rate for coding outpatient medical records will be 95% or above. Demonstrates competence in abstracting requirements by analyzing and interpreting medical information so that accuracy rate for abstract completion for inpatient or outpatient records will be 95% or above.

Coordinates and completes all Kronos payroll activities; scheduling, updating, time keeping error correction forms, benefit time, etc. Submits requests for purchases and processes invoices for departmental functions, equipment and maintenance needs. Provides administrative and clerical support services including the management of calendar appointments, meetings and materials, maintenance of files and documents, copy needs, keeping supplies stocked, disbursements and coverage schedules for the psychiatrists. Identifies process improvement opportunities to ensure efficient and effective operations of the Department of Psychiatry on a daily basis. Provides administrative and secretarial support for the department of psychiatry; collecting and processing patient medical records for the behavioral health program, compiling patient files and scheduling patient appointments. Uses Navinet and communicates with insurance companies to verify insurance coverage and co-payments as needed.

Operates department clinical computer systems (SCM, Alpha, Vison, ECW) for patient scheduling and patient billing for both the inpatient unit and consultant billing

Manages the administrative aspects of the departmental orientation for professional and non-professional new employees in the department, residents and medical students. As well as the creation and distribution of departmental communications.

Prepares, transcribes and maintains reports to ensure accurate statistical data is available for evaluation of patient volumes and efficiency measurements reported through the department.

Performs other duties as assigned

High school graduate or equivalent required.

Certified Professional Coder (CPC)

3+ years of experience in healthcare environment required. General office experience and/or administrative assistance experience required with string familiarity of medical terminology.
