EDUCATIONAL/TRAINING REQUIREMENTS:

  • Minimum of a high school diploma

EXPERIENCE REQUIREMENTS:

  • At least 5 years of experience providing administrative support to senior management in a university environment
  • High level of computer proficiency
  • High level of communication and customer service skills.
  • Strong organizational skills
  • Ability to work under the pressure of inflexible deadlines.

PRIMARY FUNCTION:

To provide a high level of primary support to the Department Chair with regard to the Department’s administrative functions, the Chair’s involvement in clinical, research, and academic matters, and the Chair’s involvement in the governance of the University.

  • Coordinates the internal research faculty appointment and promotion process
  • Maintains the Chair’s calendar and schedule and coordinates meetings on and off campus as necessary; makes domestic and international travel arrangements for Chair and prepares travel expense reimbursement paperwork and electronic submission.Types and formats abstracts, book chapters, manuscripts for publication, including the preparation of scientific slides,and grant application materials and submissions, and maintains Chair’s curriculum vitae.
  • Acts as an editorial assistant for professional journals when the Chair is involved in an editorial role.
  • Coordinates special projects that involve working with high level professionals in dermatology departments nationally, and national and international dermatology organizations such as, American Academy of Dermatology, Society of Investigative Dermatology, Dermatology Foundation, etc.
  • Coordinates all planning for and management of a minimum of five international and domestic scholastic conferences and symposia each year.
  • Serves as a liaison between the Department and the local dermatology community and resident teaching institutions throughout Philadelphia.
  • Plans and organizes high-visibility events, which support the missions of the Department, that include facility, lodging, and meal arrangements, scheduling guests and speakers, and monitoring event budgets.
  • Assists with the administrative functions of local professional societies such as the Philadelphia Dermatological Society.
  • Acts a departmental liaison to the Office of Institutional Advancement.
  • Interfaces with the Office of International Affairs to insure appropriate visa status for post-doctoral fellows and technical staff.
  • Prepares for an on-boards department research volunteers and visiting scholars.
  • Knows policies and procedures applicable to assigned duties. Uses sound judgment and is aware of potential hazards before taking action. Promptly reports errors/events or situations of actual or potential harm. Understands emergency procedures and can demonstrate appropriate response.
